Vendor Q&As 

Q) Will fatal file errors need to be corrected on-line?
A) Prior to the file being imported, “import errors” must be corrected with-in the file, itself.  Then, yes, once the file has been imported, all errors can be fixed on-line.

Q) Are the changes being made on Paper Reports already included in electronic files?
A) Yes.  

Q) Will RSU payroll files be imported as single employer files or a multiple employer file?
A) Single employer files, in most cases.  RSU’s are set up within the MainePERS system as separate locations.  

Q) The new ESS specifications call for filling the old GLI fields with blanks.  Do you really need blanks in those fields or will zero filling suffice? 
A) Blanks or zero filling are acceptable.  

Q) What are the conditions that would require an employer to report an employee with more than one line of data in the same monthly file?
A) An employer is required to report separate data lines for the same employee within the same monthly filing period when the following elements differ based on how or why the employee was paid:

  • Position Code
  • PSC
  • Time Unit Code (C= Contract, H=Hourly, D=Daily)
  • Benefit Plan Class
